MILL BUILDER Privacy Policy

To carry out its activities and to offer an optimal service, MILL BUILDER processes certain personal data of the users of the MILL BUILDER website, and of (the representatives of) MILL BUILDER’s customers and prospects. This privacy policy describes the processing of personal data at MILL BUILDER.

Which personal data does MILL BUILDER process?

MILL BUILDER processes the following personal data:

  • company affiliation information: company name, job title, decision-making capacity, working hours/days, VAT number, MILL BUILDER customer number,

  • and the content of conversations: phone call notes and transcripts, chat history, email messages, letters.  

 

MILL BUILDER does not process sensitive information, like data about racial or ethnic origin, political opinions, sexual preference, and health status.

 

MILL BUILDER processes session data from the MILL BUILDER website’s users, like: 

  • the Internet Protocol (IP) address used to connect the device to the Internet, 

  • device type information, 

  • website navigation behaviour, 

  • timestamps of when pages are visited, 

  • duration of page visits, 

  • page interaction behaviour, 

  • and methods used to browse away from the page.

 

MILL BUILDER processes user preference data from the MILL BUILDER website’s users and keeps these in cookies placed in the browser application on the users’ devices. Before placing cookies containing user preference data MILL BUILDER asks the website user’s express consent.

 

Whose personal data does MILL BUILDER process?

MILL BUILDER processes personal data from everyone who has contact with MILL BUILDER or who has had contact with MILL BUILDER in the past.

  • conducting direct marketing with relevant information on MILL BUILDER’s products and services,

How to change direct marketing preferences?

MILL BUILDER sends direct marketing messages only when you have subscribed to them on a website form. MILL BUILDER sends direct marketing messages over email. You can unsubscribe from direct marketing messages via the unsubscribe link that you can find at the bottom of one of the emails.

 

Data retention policy

MILL BUILDER does not keep personal data longer than is strictly necessary. MILL BUILDER keeps the personal data of representatives at companies that MILL BUILDER has currently business with and stores these for a maximum of 7 years after the last invoice, or as long as legally required, such as for tax retention purposes. When the retention period has expired, the personal data is deleted or anonymised for further analytical or reporting purposes.

 

Data security and confidentiality

MILL BUILDER has applied appropriate technical measures to protect personal data against unauthorised access, (accidental) destruction, distribution or any other form of unlawful processing. Data is stored on secure servers. In the situations where sending data is needed, data will be sent encrypted both internally within MILL BUILDER and when sent to authorised external parties.

 

MILL BUILDER has taken practical and organisational arrangements to ensure the confidentiality of personal data in its internal processes. Only a limited group of MILL BUILDER’s employees have access to personal data to perform their work that is in line with the purposes described in this privacy policy.

 

Data sharing

The personal data kept at MILL BUILDER will only be shared with MILL BUILDER’s partners when this is necessary for MILL BUILDER to deliver its products and services. These are partners such as delivery services, suppliers or IT service providers. Parties that get access to personal data, can only use it to deliver a service on behalf of MILL BUILDER.

 

Personal data will not be sold to third parties and will not be published.

 

The following organisations are in certain situations entitled by law to request personal data:

  • the police

  • judicial authorities

  • regulators, e.g. the Belgian Data Protection Authority

  • the tax administration

 

How to exercise your rights concerning your personal data?

If you would like to access, change, delete, restrict the processing of, object to the processing of, use data portability for, or exercise any other right you have concerning the personal data MILL BUILDER has about you, you are invited to contact MILL BUILDER at privacy@millbuilder.be. If you wish to exercise these rights, please provide us with your address and a copy of an official identity document on which at least the following information is legible: first name, last name, identity document number, and identity document validity period. Make the social security number illegible on the copy if it appears on the identity document. You may also make any other information illegible on the copy. MILL BUILDER uses the address and identity information to verify your identity in order to prevent identity theft.

 

If you think that MILL BUILDER has inadvertently or unintentionally collected a child’s or minor’s personal data and is using them without appropriate consent by a person who has parental rights or is otherwise competent to give their consent, you are invited to contact MILL BUILDER at privacy@millbuilder.be, so that MILL BUILDER can remove these personal data from its systems.

 

If your request does not get the expected outcome, you can turn to the Belgian Data Protection Authority (official names: ‘Gegevensbeschermingsautoriteit’ / ‘Autorité de protection des données’).

 

Future updates to the privacy policy

MILL BUILDER reserves the right to modify this privacy policy in the future. Changes will take effect immediately upon their posting on the MILL BUILDER website. In case of material changes to this privacy policy, MILL BUILDER will in an appropriate way inform you that an update has been made.
